How to Book a Van for a School or Staff Trip in Northern Sri Lanka

Whether you are a principal organizing an educational excursion for students, or an HR manager planning an annual staff retreat, organizing a group trip in Northern Sri Lanka is a significant undertaking. The success of the trip often hinges on one crucial factor: transportation.

A delayed, uncomfortable, or unreliable vehicle can ruin the mood before the group even reaches the destination. When dealing with groups of 10 to 15 people, a Toyota KDH High Roof van is often the most practical choice. In this guide, we break down the steps and considerations for booking the perfect transport for your school or corporate trip.

1. Determine the Exact Headcount and Luggage

The most common mistake organizers make is underestimating the space required.

A standard KDH High Roof van can legally and comfortably seat 14 passengers plus the driver. However, if this is an overnight staff trip, everyone will bring luggage.

• For day trips (e.g., a school trip to the Jaffna Fort and Library): You can safely max out the 14 seats, as passengers will only have small backpacks.
• For overnight trips (e.g., a staff trip to Trincomalee): Consider capping the headcount at 10-12 people per van. This allows the rear seats to be folded up to accommodate suitcases, coolers, and team-building equipment.

2. Plan the Itinerary and Timings

Corporate and school trips are usually bound by strict schedules. When requesting a quote from a van rental company, provide a detailed itinerary.

Include:

• Pickup Points: Will the van pick everyone up from a single location (like the school gates or office parking lot), or are there multiple pickup points along the route? Note that multiple pickups can add significant time to the journey.
• Rest Stops: Plan for a 20-minute break every 2 to 3 hours. Let the driver know your preferred stops, or ask for their recommendations for clean, reliable roadside restaurants.
• Drop-off Times: Be realistic about travel times, factoring in traffic, road conditions, and the time it takes to get 14 people on and off a van.

3. Verify Safety and Vehicle Condition

When transporting students or employees, safety is non-negotiable.

Before booking, ensure the rental company provides well-maintained vehicles. Don't be afraid to ask questions:

• Does the van have functioning seatbelts for all passengers?
• Are the tires in good condition, especially if traveling during the monsoon season?
• Is the dual-zone air conditioning working properly? (A packed van without AC in the Sri Lankan heat will lead to complaints very quickly).

At BookVan.lk, we maintain a strict servicing schedule for all our KDH vans to ensure they are roadworthy, clean, and safe for large groups.

4. Understand the Pricing Structure

Budget approval is a major part of corporate and school planning. Make sure you understand exactly how the van rental is priced to avoid surprise expenses.

Clarify the following with the rental provider:

• Is it a fixed rate or based on mileage? Many companies charge a base rate for a certain number of kilometers per day, with an additional charge per extra kilometer.
• Are driver batta (allowance) and accommodation included? For overnight trips, you usually need to provide food and lodging for the driver, or pay a daily allowance so they can arrange their own.
• Who pays for parking and tolls? Make sure you have petty cash on hand to cover expressway tolls and parking fees at tourist sites, unless you have negotiated an all-inclusive package.

5. The Importance of a Professional Driver

For a group trip, the driver is more than just a chauffeur; they are an essential part of the team's experience. You need a driver who is punctual, patient (especially when dealing with energetic students), and familiar with the routes.

Professional drivers know how to navigate winding roads smoothly to prevent motion sickness, and they know the safest places to park near crowded attractions.
